Archiving emails helps you keep your inbox clean while preserving important messages. Archived emails are moved to a separate Archive folder but remain accessible and searchable.


🎯 What is Archiving?

Archiving is different from deleting:

  • Archive: Moves email out of inbox but keeps it accessible

  • Delete: Permanently removes email (moved to Trash)

Archived emails can be:

  • Searched

  • Restored to inbox

  • Accessed from the Archive folder

  • Tagged and organized


βœ… Prerequisites

The Archive feature must be enabled in Setup β†’ Settings β†’ Mailbox Settings β†’ Enable Archive Feature.


πŸ“₯ How to Archive an Email

Method 1: Single Email Archive

  1. Open your inbox

  2. Find the email you want to archive

  3. Click the three-dots menu (β‹―) on the email row

  4. Select Archive from the menu

  5. The email will be moved to the Archive folder

Method 2: Bulk Archive

  1. Select multiple emails using checkboxes

  2. Click the Actions dropdown menu

  3. Select Archive

  4. All selected emails will be archived

Method 3: Keyboard Shortcut

  1. Select the email(s)

  2. Press A key (if keyboard shortcuts are enabled)

  3. Email(s) will be archived

View Archive Folder

  1. Navigate to Mailbox β†’ Emails

  2. In the folder sidebar, click Archive

  3. All archived emails will be displayed

Search Archived Emails

  1. Use the search bar at the top

  2. Your search will include archived emails by default

  3. Or navigate to Archive folder and search within it


πŸ”„ Restoring Archived Emails

To move an archived email back to your inbox:

  1. Navigate to Archive folder

  2. Find the email you want to restore

  3. Click the three-dots menu (β‹―)

  4. Select Move to Inbox or Unarchive

  5. The email will return to your inbox


πŸ€– Auto-Archive with Rules

You can automatically archive emails using Email Rules:

  1. Go to Mailbox β†’ Rules

  2. Create a new rule

  3. Set conditions (e.g., "From contains: newsletter@")

  4. Add action: Move to Folder β†’ Archive

  5. Save the rule

Example: Automatically archive all newsletter emails to keep inbox clean.

  1. Archive Regularly: Archive emails you've read but want to keep

  2. Use for Reference: Archive emails you might need later

  3. Combine with Tags: Tag emails before archiving for easier finding

  4. Auto-Archive Rules: Set up rules to auto-archive newsletters, notifications, etc.

  5. Review Periodically: Periodically review archived emails and delete what's no longer needed


⚠️ Important Notes

  • Archiving does not delete emails - they remain accessible

  • Archived emails count toward your storage quota

  • You can search archived emails just like inbox emails

  • Archive feature must be enabled in Settings

  • Archived emails can be restored to inbox anytime
