Interface Overview:
All Chats Sidebar:
Search or Start Chat: Use this search bar to find existing chats or start new ones.
Filters:
All Chats: Filter chats based on various criteria such as unread chats, important chats, etc.
All Types: Filter chats by message types, such as campaign messages, customer messages, etc.
All Statuses: Filter chats by their status, like lead status, customer status, etc.
All Staff: Filter chats by the assigned staff member handling the chat.
Chat List: Displays all the chats based on the selected filters. Each chat entry shows:
Profile Picture or Initials: The initial or profile picture of the contact.
Name: The name of the contact.
Message Preview: A short preview of the most recent message in the chat.
Tags: Tags indicating the status or type of the chat, such as lead
, raw lead
, customer
, etc.
Delete Icon: A trash icon to delete the chat entry.
Chat Window:
Contact Information:
Name: The name of the contact.
Phone Number: The phone number of the contact.
Message Area: Displays the conversation with the selected contact. Features include:
Message Content: Each message bubble shows the text and any associated media.
Timestamp: The time the message was sent or received.
Status Icons: Indicators showing the delivery and read status of messages.
Error Messages: Error codes and descriptions are displayed for messages that failed to deliver.
Input Box: Type your message here to send to the contact. It supports text and media.
Attachment Icon: An icon to attach files or media to your message.
Send Icon: An icon to send the message.
Error Handling:
Messages that failed to deliver will be highlighted with a red error message.
Error Code: Unique identifier for the error.
Title: Brief description of why the message failed.
Message: Detailed message explaining the failure.
Details: Additional information to understand the error and possible solutions.
Usage Instructions:
Starting a New Chat:
Use the search bar in the sidebar to search for an existing contact or start a new chat by entering a phone number.
Filtering Chats:
Apply filters to narrow down the list of chats. This helps in managing large volumes of messages efficiently.
Managing Conversations:
Click on a chat entry to view the full conversation in the chat window.
Read the messages, send replies, and manage errors directly from the chat window.
Handling Failed Messages:
Review the error message and note the error code.
Check the detailed message for insights on why the message failed.
Use the provided details to troubleshoot and resolve the issue.

The Chat Tags and Pin Chat functionalities are designed to improve communication efficiency and enhance user experience when managing WhatsApp chats in the WhatsApp Official Cloud API Chat Module for Perfex CRM. Here's an explanation of how these features work:
Chat tags are labels or markers that you can apply to a chat to categorize or organize conversations based on context or priority. Tags are especially useful for identifying the purpose or status of a conversation at a glance.
Organization: Easily sort or filter conversations based on tags like "Support," "Sales," "High Priority," etc.
Search and Retrieval: Quickly search for chats related to specific topics or contexts.
Improved Workflow: Helps team members understand the purpose of a conversation without needing to read through the entire chat history.
Adding a Tag:
Open the chat you want to tag.
Click on the Tag Icon (or relevant button for tagging).
Select an existing tag or create a new one (e.g., "Inquiry," "Follow-Up," "Urgent").
Viewing Tags:
Tagged conversations will display the tag label alongside the contact's name in the chat list for easy identification.
The Pin Chat feature allows users to pin specific conversations to the top of the chat list, ensuring they remain easily accessible even as new chats come in.
Quick Access: Keep important or high-priority conversations at the top of the chat list for quick access.
Stay Organized: Avoid losing track of critical discussions among numerous chats.
Enhanced Collaboration: Team members can focus on pinned chats for ongoing projects or urgent client queries.
Go to the chat list in the WhatsApp module.
Locate the conversation you want to pin.
Click on the Pin Icon next to the chat.
The pinned chat will move to the top of the chat list and remain there until unpinned.
Click on the Pin Icon again for the pinned chat.
The chat will return to its normal position in the list, sorted by the most recent messages.
To delete a conversation, click the Trash Icon next to the chat.
This will remove the chat from your view, but the data will remain in the database for record-keeping (depending on your moduleβs settings).
Standardize Tag Usage:
Define a set of commonly used tags for your team, such as "Support," "Sales," "Follow-Up," or "Closed."
This ensures consistency across all chats and avoids duplication of tags.
Pin Only Critical Chats:
Use the Pin Chat feature for conversations requiring immediate attention, such as ongoing support cases or high-value leads.
Unpin chats once the issue is resolved to keep the pinned list manageable.
